Additional Information onVehicles 

Requirements
Student clubs or organizations can only use state vehicles for educational purposes and must be accompanied by faculty or staff.  OPS students may drive.

Drivers must be certified to drive 15 passenger vans by completing  a computer-driven safety training course which takes about 2 hours.  A registration form is included or available in 118A N-Z.  Contact Vanessa Fayo, Program Assistant, Environmental Health & Safety (EH & S) at 392-3393, vfayo@ehs.ufl.edu for an appointment.

Requests

To expedite your requests:

  1. Check the vehicle calendars for availability in Outlook at:
    Folder List/Public Folders/All Public Folders/IFAS/SFRC/Vehicles/Veh #
    "Shortcut" for repeated use:  Add all the vehicles or at least the ones you will most likely request ie. research vehicles (only one at a time possible) to "Favorites" which makes them visible in "Calendars" instead of the long search.  
  1. Complete a vehicle request form "online only" , save as vehreq_Lastname_mmddyy.doc, attach it to an email and submit to Willie Wood wwood@ufl.edu,
  2. A vehicle will be assigned, entered on the appropriate calendar & a receipt returned by email.

Fuel
In-town purchase gas 24 hrs. everyday at the PPD Motor Pool, Radio Road.  Enter the mileage into the kiosk, insert the gas key and follow the instructions.  Every vehicle has its own gas key.  The key for    administrative and teaching vehicles can be signed-out with the vehicle.  The key for research or non-teaching vehicles can be obtained from the faculty or staff who is assigned the vehicle. 

Do not keep gas keys in vehicles when unattended to prevent theft.  Each faculty or staff  is liable for all charges at the PPD Motor Pool, 392-1131 until a gas key is reported missing.   Fill-out a gas receipt and “sign” anywhere, there’s no particular place provided.  

Out-of-town purchase gas anywhere with the UF/VISA purchasing card.  Attach each gas receipt to a “pink” Procurement Card Receipt/Replacement Form and “sign.”  For administrative and teaching vehicles an account number will be assigned.  For research or non-teaching vehicles the gas must be  charged to a faculty or staff account. 

Submit all gas receipts within 3 days to Victoria Peprah-Asante in 134 N-Z, 846-0864.

Accidents
Contact, at the earliest convenience, Linda Cowart, UF/IFAS Facilities Planning and Operations, PO Box 110850, 392-6488, lpcowart@fpo.ifas.ufl.edu so the claim process can be initiated. 

If a state employee is injured during any accident whether at fault or not, report immediately to the University of Florida Workers’ Compensation Office, PO Box 115008, 392-4940, workcomp@ufl.edu
