Requirements


Only drivers who possess a valid operator’s license, use seat belts and observe posted speed limits are permitted to operate university vehicles and only for official business. A driver must be a university employee i.e. faculty, staff, OPS (Other Personnel Services) student or graduate student and have the permission from their supervisor for liability coverage. A copy of their driver’s license must be submitted to Victoria Peprah-Asante, 134 N-Z, 846-0864. See Appendix about use by student clubs or organizations and 15 passenger van safety training.

Requests
Only faculty and staff can request and be assigned vehicles. Students must have faculty or staff approval who thereby assume responsibility for the vehicle and the driver(s). All requests must be completed "online only" and be submitted from the supervising faculty's or staff's own computer as verification. See Appendix for additional information and the request form.

Availability
Administration and teaching vehicle requests for other purposes will be discouraged and limited only to urgent needs.

Non-teaching or research vehicles should be the primary vehicles requested for these purposes. All vehicles will be assigned in order of request with consideration given to group or class size and type and time of need.

Fuel
Administrative vehicles and teaching vans should be refueled when the gas gauge indicates half-full or less in consideration of the next driver who also may be in a hurry.

Research or non-teaching vehicles will be full of gas when you pick it up and should be returned full using a UF/VISA purchasing card and charged to a faculty or staff account. There is no mileage fee.

In-town purchase gas 24 hrs. everyday at the PPD Motor Pool, Radio Road.

Out-of-town purchase gas anywhere with the UF/VISA purchasing card.

Records
A new vehicle use record must be used in each vehicle for each month even if there is no travel. “Each driver must make an entry each day, in each column, on one line, for each trip (=ignition-on to ignition-off) and both print and sign their name.” Every month the record must be approved by the faculty assigned to the vehicle or their designate and submitted to Victoria Peprah-Asante, 134 N-Z, 846-0864.

Service
Roadside assistance and towing can also be charged on the UF/VISA purchasing card.

A safety inspection is required yearly for all vehicles at the PPD Motor Pool, Radio Road, 392-1131.
For preventive maintenance, vehicles should be serviced at least every 3 months or 3,000 miles. This can be done at the PPD Motor Pool or any off-campus service location. I highly recommend Firestone Tire & Service Center, 3744 SW Archer Road, 376-7617 for state and private vehicles.

Parking
All private vehicles must have some type of parking decal to park on campus.

All state vehicles can be parked on campus during normal business hours 8:00 AM to
5:00 PM preferably in a “state vehicle only” space but spaces other than “reserved” and “handicapped” are alternatives. After hours, they must be parked within the fenced SFRC/WEC vehicle compound on Mowry Road.

The campus-wide speed limit is 20 mph when prudent.

The University Police Dept. (UPD) 392-1111 issues citations for violations of all of the above.

Accidents
Call local authorities immediately to the scene of the accident so that a police report can be completed. Ask for a Case # so Willie Wood, 118A N-Z, 848-0857, wwood@ufl.edu can obtain a copy of the report.
